Privacy Policy

1. Introduction

Contextli ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our applications, including our iOS and Android mobile apps and our desktop application, and related services.

2. Information We Collect

2.1 Information You Provide

  • Account information (email address, name if provided)
  • Payment information (processed through secure third-party payment processors)
  • Support communications and feedback

2.2 Information Collected Automatically

  • Application usage data and analytics
  • Device information (operating system and version, device model, and a per-install identifier used to recognize your devices for sync and support)
  • Error logs and crash reports (to improve app stability)

Microphone (mobile): The mobile app requests microphone access only to capture your speech for transcription when you start a recording. We access the microphone solely while you are dictating, and you can revoke this permission at any time in your device settings.

2.3 Audio and Transcription Data

Important: The handling of your audio recordings and transcripts depends entirely on the processing mode you choose:

  • Local Whisper Mode (desktop): Audio is processed entirely on your device. We never receive, store, or have access to your audio data.
  • BYOK (Bring Your Own Key) Mode (desktop): Audio is sent directly to your chosen third-party provider (e.g., Deepgram, OpenAI). We do not receive or store this data.
  • Cloud Mode: Audio is processed for transcription and then discarded. We do not store audio recordings after a transcription is produced.

2.4 Mobile App and Third-Party AI Processing

When you dictate in the Contextli mobile app, your voice and the resulting text are processed by specific third-party AI providers so the app can function. We disclose them by name:

  • Deepgram (speech-to-text): Your audio is sent to Deepgram, Inc. to convert your speech into text. Audio is processed transiently for transcription and is not retained by Deepgram for model training under our agreement.
  • xAI / Grok (text cleanup and formatting): The transcribed text, together with the instructions of the context you selected, is sent to xAI to clean up, format, or transform the text into the output you asked for. This text is processed to generate your result and is not used to train models under our agreement.

These transfers are necessary to provide the dictation and AI-formatting features you request. Requests to these providers are made using our own API keys and are not tied to your name or account identity on the provider's side, are processed transiently to produce your result, and are not retained by the providers to train their models under our agreements. We do not send your audio or transcripts to any AI provider other than those named above, and we do not use your content to train our own models.

Cloud Sync (your choice): So your notes, contexts, and dictionary are available on all your devices, Cloud Sync is on by default and backs this content up to our secure servers. You can turn Cloud Sync off at any time in Settings, in which case your notes and transcripts are kept only on your device and are not stored on our servers. Even with Cloud Sync off, we still process basic account information (such as your email) and usage information needed to operate your account, as described elsewhere in this policy.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Process transactions and send related information
  • Send technical notices, updates, and support messages
  • Respond to your comments, questions, and requests
  • Monitor and analyze trends, usage, and activities
  • Detect, prevent, and address technical issues

4. Data Storage and Security

4.1 Local Storage

Your transcripts and notes are stored on your device, and you have full control over them: you can view, edit, or delete them at any time. If Cloud Sync is enabled (it is on by default and can be turned off in Settings), a copy is also backed up to our secure servers so your notes are available across your devices. With Cloud Sync turned off, your notes and transcripts remain on your device only.

4.2 Security Measures

We implement appropriate technical and organizational security measures to protect your information. However, no method of transmission over the Internet or electronic storage is 100% secure.

5. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information. We may share your information only in the following circumstances:

  • Third-Party AI Providers: To provide transcription and AI text-formatting, we share your audio with Deepgram (speech-to-text) and your transcribed text with xAI / Grok (text cleanup and formatting), as described in Section 2.4. These are the only AI providers that receive your dictation content.
  • Service Providers: With other third-party service providers who perform services on our behalf, such as payment processing (Stripe) and infrastructure hosting.
  • AI Assistants You Connect: If you choose to connect Contextli to an AI assistant (such as ChatGPT or Claude) through our connector, that assistant can read the specific notes and contexts it requests on your behalf, only after you authorize it. This sharing is described in Section 5.1.
  • Legal Requirements: When required by law or to protect our rights and safety.
  • Business Transfers: In connection with any merger, sale, or acquisition.

5.1 Connecting an AI Assistant (Contextli Connector)

Contextli offers an optional connector that lets you link your account to a third-party AI assistant, such as ChatGPT or Claude, so you can pull up and search your own notes from inside that assistant. This connection is entirely your choice and is off until you set it up.

  • What you authorize: Connecting an assistant uses a standard sign-in (OAuth) flow. You confirm your identity with Contextli, review what access you are granting, and explicitly approve it before any data is shared. You can decline at any step.
  • What the assistant can access: Read-only access to your own notes, transcriptions, contexts, and labels, and the ability to add labels to your notes or save a new note you create in the chat. The connector never exposes another user's data, your password, your audio recordings, or your payment information.
  • How it works: When you ask the assistant to look something up, it requests only the notes or contexts needed to answer, scoped to your account. We share only what is necessary to fulfill that request. We do not send your content to the assistant in the background or when you are not actively using it.
  • Retention and the assistant's own policy: Once your notes reach the connected assistant, that assistant's handling of the data is governed by its provider's privacy policy (for example, OpenAI or Anthropic). We encourage you to review it.
  • Disconnecting: You can revoke a connected assistant at any time from within that assistant's connector settings. After you disconnect, the access token is invalidated and the assistant can no longer read your notes. We do not use the connector to train any AI model.

6. AI Training and Data Usage

We do not use your recordings, transcripts, or any content to train AI models. We are a tool company, not a data company. Your intellectual property remains yours, and we do not use it for any purpose other than providing you with transcription services.

You have the right to:

  • Access and receive a copy of your personal data
  • Rectify inaccurate or incomplete data
  • Request deletion of your personal data
  • Object to or restrict processing of your data
  • Data portability (receive your data in a structured format)
  • Withdraw consent at any time

8. Third-Party Services

Our Service may contain links to third-party websites or services. When you use BYOK mode, you interact directly with third-party providers (e.g., Deepgram, OpenAI, Anthropic). We are not responsible for the privacy practices of these third parties. We encourage you to review their privacy policies.

9. Children's Privacy

Our Service is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us.

10. International Data Transfers

Your information may be transferred to and maintained on computers located outside of your state, province, country, or other governmental jurisdiction where data protection laws may differ. By using our Service, you consent to the transfer of your information to these facilities.

11. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically for any changes.
